Administrative Support Specialist
Main Job Functions
Key activities
- To provide comprehensive day-to-day assistance to the Managing Director on organizational & administrative issues, including special requests requiring confidentiality and urgency. Collaboration with Senior Management on contract holding/administration and various analytical data preparation.
Key Responsibility Areas
- Preparation and dissemination of organizational notices, internal communication and other relevant documentation in Montenegrin or English language according to company standard as required;
- Set up of company documental archive in order to be able to search and deliver the requested documentation;
- Ensures that all the in/out documents are promptly distributed and filed;
- Handling request of materials and services, work orders, job orders and other documentation related to the organization of the office;
- Assisting Senior Management with the support of HR Milan with Human Resources processes in term of planning, development and training, employee benefits and organization both for local and expatriate employees;
- Management of employment contracts and secondment contracts in compliance with employment legislation and company policies, with the support of HR Milan;
- Liaising with various internal and external interface (HQ, Authority, Real Estate, tax department) in order to support the Senior Management in the start-up of the Company;
- Being the primary interface for new hired employees for induction in the company and general service support;
- Arranging travel, visas, permits and accommodation for local and expatriate employees, in accordance with legislation and company policies.

Qualifications
- High school / College graduate level
- Advantageous Qualifications/Experience
- Previous similar experience
- Proficient in oral and written English and preferably Russian; Montenegrin mother tongue
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
Educational Qualifications
- High school / College graduate level
