We are currently recruiting for a Receptionist/Department Secretary to join and support our development team in a role which will see you greeting, welcoming and directing visitors, while maintaining the highest level of courtesy and professionalism at all times, as well as supporting day-to-day office operations and providing full administrative/secretarial assistance to department management team in order to ensure departmental effectiveness and efficiency.
 
In this role, you will have excellent communication and interpersonal skills, and a customer-service orientation when dealing with people. You will also have strong organizational and time management skills that reflect ability to perform multiple tasks seamlessly with excellent attention to detail. The position requires highly reliable individual with a team player attitude.
 
Key duties and responsibilities will include: 
  • Producing information by transcribing, formatting, inputting, editing, retrieving, copying, scanning, and transmitting text, data, and graphics;
  • Taking, typing and distributing minutes of meetings;
  • Organizing work by reading and routing correspondence; collecting information; initiating telecommunications;
  • Maintaining department schedule by maintaining calendars for department personnel; arranging meetings, conferences and teleconferences;
  • Completing requests by greeting customers, in person or on the telephone; answering or referring inquiries;
  • Preparing reports by collecting information;
  • Maintaining office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies;
  • Keeping equipment operational by following manufacturer instructions and established procedures;
  • Maintaining companies’ brand and protecting operations by keeping information confidential;
  • Contributing to team effort by accomplishing related results as needed.
To successfully fill this role, you should have the following:
  • A minimum of 2 years prior secretarial experience;
  • Fluency in English language, both spoken and written;
  • Computer literacy in Microsoft Office suite of products;§  Telephone techniques and etiquette;
  • Exceptional organizational, administrative and time management skills;§  Great communication and interpersonal skills using tact, patience and courtesy;
  • Ability to maintain confidentiality related to sensitive information;§  Ability to establish and maintain cooperative and effective working relationships with others.
