Job Description: Receptionist
Department: Front office, Level 2
Reports to: Front Office Manager

Summary
We are looking for a proactive and professional Receptionist to join the Lazure Hotel & Marina team in Herceg Novi, Montenegro.
The Receptionist acts as the link between guests and all Hotel departments. He/she acts as a host by providing help and information to all guests. As such, he/she is responsible for resolving all guests' complaints in a timely and professional manner.

RELATIONSHIP
  • Reports directly to and communicates with the FO manager on all pertinent matters affecting related matter
  • Co-ordinates with his/her colleagues to ensure service is delivered in a smooth and effective manner
DUTIES AND RESPONSIBILITIES
  • Provides efficient, expedient and courteous service to the guests leading to a total guest and company satisfaction
  • Checks in/out/extend stay of guests according to the established procedure, including entering data into Opera, key coding and the preparation of the registration card
  • Is aware of all written and spoken requests, to carry out these requests in a courteous and helpful manner
  • Operates PMS, PBX and other related systems as requested, prepares the reports
  • Checks the rooms discrepancies with the HK department
  • Posts charges and processes payments from the guests
  • Makes reservations, sells and upsells rooms
  • Monitors no-shows and late cancellations and ensures a maximized selling situation, transfers guests to other hotels by overbooking
  • Is responsible for the cleanliness, maintenance and upkeep of all equipment, furniture he / she is working with
  • Is fully conversant with the facilities, services and special promotions offered by the hotel and is responsible  to pass this information on to the guest whenever the possibility arises in order to maximise hotel sales
  • Has a full working knowledge of the loyalty programme and its benefits – taking every opportunity to enrol new members
  • Is courteous, warm, smiling, while dealing with the guest
  • Takes care of the lobby conditions and cleanliness
  • Keep and pass to HK Department the Lost and Found items as per established  procedure
  • Receives and passes messages to the guests and management, provides wake up calls
  • Listens to guest remarks or complaints and rectifies wrong doing and any guest demand. Informs FO manager of all complaints
  • Responds to requests from guests for assistance and information
  • Ensures the float handed over is checked and correct
  • Coordinates with other personnel
  • Follows the department standards
  • Demonstrates an understanding and an awareness of all policies and procedures relating to Health, Hygiene and Fire Life Safety
  • Attends department meeting and training when requested
  • Is always clean and properly groomed on duty, according to hotel policy
  • Performs all duties other than above requested by the FO Supervisor, Manager and Hotel Manager.
Qualification & Experience
  • Degree in Hospitality Management or related field
  • At least 1 year experience in Front Office Department
  • Proven leadership skills, highly responsible & reliable, attention to detail
  • Excellent communication skills, both written and verbal
  • English & local: excellent writing and speaking skills, other foreign languages would be an advantage
