Assistant Events Manager
to join a small and busy Events Team.
Job Description:
- Carrying out tasks that may be delegated by the Events & Groups Manager.
- Providing event related administrative and operational support, ensuring the successful delivery of a busy daytime and evening venue schedules for commercial and private events.
- Assisting with event enquiries via phone, email and personal meetings with the clients, preparing the presentations and sending offers.
- Assisting in writing and managing event enquiry procedures for respective hotel departments.
- Assisting in managing and coordinating suppliers and all event logistics.
- Handling client last - minute queries and troubleshooting on the day of the event ensuring smooth operation.
- Ensuring that event attendees have a memorable experience.
- Assisting the Event Manager in liaising with clients in order to define all preferences and keep them up-to-date on the progress of the event planning process.
- Coordination between different hotel departments involved in organizing and delivering an event.
- Liaising with various vendors on behalf of the Event Manager.
- Assisting with the group's reservations and accommodating their requirements during the stay at the hotel.
Requirements:
- Excellent command of English language (oral and written)
- Ability to take initiative but work as a part of the team
- Listening to the client’s needs and preferences, noting and executing to their satisfaction
- Handling various tasks at the same time within deadlines and as per the schedule
- Negotiation skills protecting company’s and client’s best interest
- Excellent interpersonal skills
- Attention to detail, exceptional organizational skills
- Proficiency in Microsoft Office applications
