Job description:
Groups & Events Coordinator is responsible for coordinating groups & events. This position works closely with MICE Sales Managers in process of negotiations and servicing accounts.
Primary service efforts are in selling rooms, Banquet food/beverage and setup that include event planning, agenda setting and hotel meeting services, hospitality amenities and special VIP requests. Duties also include facilitating communication before, during and post event with relevant hotel staff to ensure a high level of service.
G&E Coordinator reports to MICE Sales Manager.
This position consist of 50% time spent in Sales 50% time in Operations.
Sales side responsibilities:
Coordinating details of group bookings and events such as conferences, meetings, weddings, birthdays, anniversaries, incentives in ensuring client’s and agent’s requirements are always timely met and subsequently all concerned departments are timely informed
Recognizing opportunities to maximize revenue by up-selling and offering enhancements to create outstanding events
Utilize all in house venues, spaces, equipment, offers for upsell opportunities
Assist with site tours
Create and utilize excel spreadsheet to keep track of inquiries/bookings
Checking Opera blocks, entering and updating rooming lists
Administration, such as assistance in preparing offers, proformas, contracts and tracking payments
Operation side responsibilities:
Organizing the venue, set up, décor, different kind of entertainment, Menus while coordinating with agent or suppliers/ partners when needed
Find solutions to problems that arise concerning services or programs provided or advise some of the senior colleagues
Keep up to date inventory in Banqueting
Direct staff and oversee the events
