Finance and Administration Assistant


We are looking for a Finance and Administration Assistant who will be responsible for supporting the financial and administrative operations of the school. This includes invoicing, accounts receivable monitoring, admissions documentation, record keeping, and assisting with internal audits and compliance, ensuring the smooth day-to-day running of the finance and admissions processes.

You will be responsible for tasks such as:
  • Perform administrative and clerical tasks such as preparing and sending invoices, sending billing reminders and monitoring payments.
  • Filing financial documents and maintaining accurate records.
  • Contacting clients to discuss their accounts or payments.
  • Respond to client inquiries regarding invoices and payments.
  • Support with cash handling tasks (e.g., uniform sales).
  • Monitor accounts receivable and flag overdue accounts to the Finance Coordinator.
  • Update payment records and maintain reconciliation between bank statements and client payments.
  • Assist with financial analysis and preparations for the annual year-end audit.
  • Help with year-end reconciliation of all open receivables.
  • Support the Admissions team with documentation and data entry.
  • Prepare enrolment confirmations for visa and administrative purposes.
  • Archive and organize admissions documentation (passports, visas, medical records, contracts, etc.) and making sure it is complete.
  • Ensure proper filing of tuition fee agreements and other signed documents.
  • Assist in preparing new tuition fees agreements.
  • Support in drafting and updating agreements related to donations, sponsorships, termination of contracts etc.
  • Assist in the preparation of offer letters, annexes to contracts, decision letters, and confirmations.
  • Ensure effective coordination between admissions and finance departments regarding student billing and records.
  • Support general administrative duties as assigned by the Finance Coordinator or School Leadership Team.
In order to succeed, you need to fulfil the following criteria:
  • Full proficiency in English and Montenegrin
  • Degree in Finance, Business Administration, Accounting, or a related field preferred.
  • Experience in a finance or administration (preferably in an educational or non-profit environment).
  • Good Computer skills particularly Microsoft Word, Excel
  • Good interpersonal and communication skills.
  • Familiarity with financial software or school management systems is an advantage.
  • Ability to handle sensitive information with discretion and confidentiality.

  • Ability to prioritize and manage multiple tasks.
