Position: Night Receptionist
Scope of Job: Front Office

Main Duties and responsibilities:
  • Execute all processes related to guest registration and payment in accordance with hotel standards.
  • Check tomorrow's arrivals against reservation references.
  • Monitor and record no-shows and cancellations of reservations.
  • Conducts necessary accommodation and tax postings, carry out all cash handling processes, financial records, including posting expenses to accounts in the system.
  • Process reports through the reception system and prepare night audit reports.
  • Generate operational and managerial reports.
  • Conduct night audit review from the last shift.
  • Perform guest check-in and check-out as needed after 10:00 PM.
  • Assign accommodation to newly arriving guests.
  • Reconcile transactions on newly opened guest accounts.
  • Verify and prepare room status reports.
  • Balance paperwork with accounts in the system and prepare necessary reports.
  • Prepare a list of expected guest arrivals for the next day.
  • Close financial activities for the current day.
  • Prepare financial activities and reports for the next day.
  • Receive and record bank deposits through reports.
  • Handle guest requests upon arrival and during their stay, resolve requests in the best manner.
  • Provide guests with all necessary information.
  • Communicate with the Housekeeping department and Technical Service.
  • Receive, record, and resolve guest complaints/requests and assure in a polite and professional manner that all information will be documented, addressed to the department manager and will be resolved as soon as possible.
  • Establish and maintain pleasant and courteous communication with guests, colleagues, and other parties.
  • Build good relationships both internally and externally, while ensuring the provision of excellent service.
  • Collaborate with the reservations department and sales team to ensure a pleasant experience for all guests.
  • Adhere to and respects hotel rules and procedures. 
  • Maintain high standards of personal appearance and grooming.
  • Be familiar with property safety, first aid, fire, and emergency procedures.
  • Perform other duties as assigned by Front Office Manage
Requirements: 
  • Completed High school, Diploma, or degree in hospitality or related field of study is advantage.
  • Must have at least 1 or more years of previous experience in the hospitality and must able to operate the System of Hotel.
  • Demonstrate excellent organizational skills, communication skills, and problem-solving skills.
  • Advanced level of English language both verbal and written, other language is advantage.
  • Intermediate skill level in the use of the Microsoft Office suite of applications.
  • Must be able to multitask, make decisions and solve problems. 
  • Ability to perform job duties with attention to detail, speed, and accuracy.
  • Proficiency in working with hotel information systems such as Opera, Fidelio, or Diventa.
  • Capability to prioritize and organize tasks.
