FRONT OFFICE MANAGER (m/f)

The tourist resort includes 89 rooms and 10 charming sea-view villas, a beach, a Spa centre, three restaurants, a beach bar & lounge, as well as two swimming pools with a cocktail bar.

Job description:
  • Organising the work of the Front Office;
  • Responsible for the Front Office business results, service quality, and Front Office costs;
  • Fully familiar with all front office procedures and responsible for ensuring that all front office employees implement them;
  • Supervises the Front Office Supervisor (or performs these duties in their absence or if the position is vacant), including monitoring working hours and authorising overtime and labour costs in the front office sector;
  • Cooperates with the reservations department on all tasks within this sector;
  • Issues invoices/bills (for guests and agencies) for services provided;
  • Accepts and cancels reservations, and prepares arrival and departure lists;
  • Prepares the list of available rooms for the current and following day and assigns rooms prior to guest arrival;
  • Reports the arrival of VIP guests to superiors and takes special care of them;
  • Ensures that the foreign exchange rate board is kept up to date;
  • Ensures that all guests are warmly welcomed upon arrival;
  • Checks that guest records are properly maintained and completed;
  • Verifies the accuracy of housekeeping reports in relation to front office data;
  • Prepares tables, records, and files reservation and room allocation data and informs subordinates accordingly;
  • Ensures proper control of key issuance and returns (guests and staff/departments);
  • Improves room revenue by implementing appropriate control systems;
  • Regularly checks safe-deposit records to see whether any guest has forgotten belongings and updates records accordingly;
  • Meets with group guides, maintains contact during group stays, and maintains constant communication with tour operators and their representatives;
  • Controls and reconciles daily cash revenue;
  • Monitors staff performance, assists employees during shifts, and trains them on the job;
  • Manages the cash register, records all payments, exchanges foreign currency, and handles cash, credit cards, and travellers’ cheques;
  • Operates credit card devices, performs balancing, and closes at the end of the shift;
  • Prepares a list of important (emergency) phone numbers and keeps it visible for all front office staff;
  • Decides on all daily front office procedures;
  • Performs other duties and tasks within their competence as required, upon prior instruction from the Executive Director.
Qualifications:
  • Minimum 2 years of experience in the same or similar position;
  • Degree in Tourism and Hospitality or a related field;
  • Strong organisational skills and ability to coordinate the front office sector with other hotel departments;
  • Excellent command of English and at least one additional language;
  • Preference will be given to candidates familiar with the Opera system;
  • Category B driving licence.
